First run workflow
Follow this sequence when setting up a workspace or onboarding a new project.
Open GeoMind
On an installed Ubuntu system, open GeoMind from the
application menu or the desktop shortcut. You can also open
http://127.0.0.1:8787 in a browser on the same
computer.
Add documents
Use Add files or Add folder in the Documents panel. GeoMind copies the files into the selected workspace.
Wait for readiness
Documents must be digested before GeoMind can search, summarize, cite, or answer from them. Keep Auto-digest enabled for normal use.
Ask or act
Ask a question, select files for a focused answer, or use actions such as Summarize, Create report, Compare, and Transcribe audio.
Working with documents
GeoMind answers best when files are clearly organized, readable, and prepared in the active workspace.
Add and organize files
- Add files: choose one or more files from your computer.
- Add folder: import a complete folder tree.
- New folder, rename, move, remove: keep projects, clients, cases, and meetings organized.
- Rescan documents: refresh GeoMind after changes made outside the app.
- Inspect: review a document status, preview, and prepared text.
Supported content
GeoMind works with common text, document, spreadsheet, presentation, web, email, e-book, PDF, transcript, and audio files. Audio tracks can be transcribed before they are used for document answers.
Image and video content analysis is limited in this version. Add a readable transcript or text document when you need reliable answers from visual media.
Document readiness
Digesting prepares documents so they can be searched, summarized, cited, and used in answers. If a file is pending, skipped, unsupported, or not yet transcribed, GeoMind may not be able to answer from it.
Assistant chat
Route questions clearly when you want GeoMind to answer from private workspace content.
General questions
Ask normally when the question does not depend on your files. GeoMind answers directly and can continue the same topic through follow-up questions.
Questions about documents
Use words such as my files, my documents, selected files, transcript, report, meeting, or protocol when the answer should come from the workspace.
Focused answers
Select one or more files first when only those files should be used. Leave files unselected for broader workspace questions.
Useful controls
- Detailed response: allow a fuller answer when you want explanation, examples, or a longer answer in chat.
- Reasoning mode: use only when deeper analysis is needed and you can wait longer.
- Stop: cancel a running answer.
- Save: keep a useful answer so it can be inserted into a later message.
- Source chips: open cited files to verify where important information came from.
/mem anywhere in
a message to force document mode. Use /ge anywhere in
a message to force general mode.
Selected-file actions and reports
Select one or more files before asking when the answer must be grounded in a specific set of documents.
Summarize
Create a concise answer from selected documents. For many files, GeoMind can first create an aggregate summary document and then answer from it.
Create report
Generate a longer Markdown report from selected material. Open the generated file card to review and export the result.
Compare
Show agreements, differences, contradictions, and a short synthesis across selected files.
Generated files and exports
- Generated reports, aggregate summaries, cleaned transcripts, archives, and transcripts appear in chat as file cards.
- Use Open complete document to view the full Markdown output.
- Use viewer export controls to download generated Markdown as Markdown, PDF, or DOCX when available.
- Ask GeoMind to revise the output if the structure, level of detail, or focus is not correct.
Workspace and memory
A workspace is the folder that holds your documents. GeoMind
stores its local memory and processing data in a hidden
.geomind folder inside that workspace, so the
workspace can move with its memory.
Workspace tab
- Shows the active storage location.
- Shows document readiness and digest status.
- Lists storage devices and workspace location controls.
- Allows workspace-safe rename, move, remove, inspect, and open actions.
Good workspace habits
- Keep one folder per project, client, case, or meeting series.
- Use clear filenames with dates when meetings or versions matter.
- Back up the workspace before large reorganizations.
- Use Do not digest for visible files that should not become searchable.
Storage devices and migration
Detected devices appear in the Workspace tab. Select a device to
start a new workspace there or migrate the current workspace to
it. Migration copies the workspace contents, including
.geomind.
Reset memory
Reset memory starts GeoMind fresh by clearing what it has learned from the workspace. It keeps your documents, but the files must be digested again before they are searchable.
Audio and meeting workflows
Convert recordings into transcripts before asking for decisions, tasks, topics, and deadlines.
From recording to action plan
- Add the meeting recording.
- Select one audio file.
- Choose Transcribe audio.
- Open or clean the transcript if needed.
- Ask what was discussed, decided, assigned, unresolved, or planned next.
Meeting questions
- What was discussed in the latest meeting?
- What was decided in this meeting?
- What action items were assigned?
- Who is responsible for each task?
- What remains unresolved?
- Compare the decisions from the last two meetings.
Questions about the latest or last meeting prefer the newest readable meeting transcript or protocol. If an audio file has a same-name transcript, the transcript is used for details such as decisions, tasks, topics, and deadlines.
Access and security
Keep the default local access mode unless another trusted device needs to reach GeoMind on the same network.
Local mode
Use Local when GeoMind should only be opened from the same computer. This is the recommended default.
LAN mode
Use LAN only when another device on the same trusted network needs to open GeoMind. The local network address appears in the header while LAN is active.
Lock GeoMind
Set an access password when LAN is active or when sensitive data is present. New connections must enter the password before opening GeoMind.
Updates
On production Linux installs, the updater checks for newer stable releases and records the result for the GeoMind interface. Updates are not installed automatically.
Check for update
Use the footer button to manually check for a newer version. If no update is available, the button stays in check mode.
Install update
When a new version is available, the same button changes to install mode. Click it to start the update. When the update finishes, close the GeoMind window and open GeoMind again.
Tips for better answers
Specific files, dates, people, and projects help GeoMind answer with less ambiguity.
Do
- Ask clearly when you want an answer from your documents.
- Select files when the answer must be limited to a specific set.
- Name the file, meeting, date, person, project, or topic when possible.
- Ask one decision, task, deadline, or responsibility question at a time when accuracy matters.
- Open source chips before using important information.
Remember
- GeoMind can answer from files that are present, readable, and prepared in the workspace.
- GeoMind only knows private information if you provide it in the workspace or in chat.
- General answers may need verification against reliable sources.
- If the assistant loses context, repeat the person, file, project, date, or subject.
Troubleshooting
Start with workspace state, file readiness, selected documents, and access mode.
No documents appear
Use Rescan documents. If the workspace is on removable storage, confirm that the device is connected and selected as the active workspace.
Files are pending
Leave Auto-digest enabled, or use Digest pending now. Inspect individual files if they remain pending.
GeoMind cannot find information in files
Check that the right files are present, readable, and prepared. Select the right documents and ask with a specific topic, date, person, or filename.
Audio detail questions do not work
Transcribe the audio first. If a same-name transcript exists, GeoMind can use that transcript for decisions, tasks, topics, and deadlines.
First answer after restart is slow
GeoMind starts the assistant in the background when the app opens. If the computer is busy, wait a moment and ask again.
LAN access does not work
Confirm LAN mode is active, use the address shown in the header, and check that both devices are on the same trusted network.
Password or lock issues
Use Change password when you know the current password. If the password must be reset, use the local reset script on the computer running GeoMind.
